Set Up the Starter Folder

  1. Create an empty folder somewhere on your computer. I’ll call mine JS Root Folder.
  2. Inside it, create 00 Inbox, 01 Reference, Personal Finances, Business Finances, Health, and Travel.
  3. Open the Starter File Management Rulebook, go to File → Download → Markdown, and move the downloaded file into 01 Reference.
  4. Give the desktop version of your AI tool access to JS Root Folder. This will NOT work in a normal web chat (the AI needs direct access to the files on your computer).

I’m using ChatGPT Work, but the same rulebook approach works in Claude, Codex, and Gemini Spark.

Prompts

Use these prompts in order. Replace JS Root Folder, 01 Reference, 00 Inbox, Google Drive, and 9 a.m. with your own folder names, storage platform, and preferred run time. Stay in the same chat when a later prompt builds on decisions you already approved.

1. Organize the files in your starter Inbox

Add a few files to 00 Inbox, then use this prompt to get a complete proposal before anything moves.

After you review the proposal, reply with any missing context, approve the files you want changed, and tell the AI which preference to remember.

2. Map your Current State and Future State

Use this before reorganizing existing cloud files. It reads the folder and file names, maps the current structure, and proposes a new one without changing anything.
